Administrative Assistant - part time (20 hours)

Administrative Assistant for Dawn’s Time, A Personal Concierge Service Company.

This IT position combines calendar management with direct customer service. The role involves scheduling appointments and working with the Kickserve platform to input client information, create invoices for services, manage multiple calendars, and provide support to customers through various channels. Booking requests can come from the website, email, text, phone or directly through Dawn.

Responsibilities:

Calendar Management:

Maintain and update scheduling systems (e.g., Outlook, Google Calendar, Kickserve) with accuracy.

•Scheduling:

Coordinate and schedule appointments for clients, employees, or partners, managing time and resources efficiently. Send reminder texts to the client and staff. Contact clients directly when needed in a timely and professional manner. Input the job into the Kickserve platform and create an invoice for billing. Add job to “ unscheduled” and send text to staff to review and grab available jobs.

Customer Service:

Answer phone calls and emails from clients, addressed inquiries, and provided

Resolve scheduling conflicts and schedule jobs and assign employees.

Provide excellent customer service and address customer concerns.

 

Administrative Tasks:

Support other administrative tasks as needed, such as preparing forms, managing

databases, or providing reminders.Skills:

• Excellent written and verbal communication skills for interacting with customers and

colleagues.

Strong organizational skills: To effectively manage multiple calendars and schedules.

Proficiency in scheduling software: Knowledge of scheduling software like Outlook,

Google Calendar, or similar platforms.

Customer service skills: Ability to handle customer inquiries, resolve issues, and provide

a positive experience.

Attention to detail: To ensure accuracy in scheduling and data entry.

Additional Information:

This role may require working with different teams and departments.

The specific software ( Kickserve) and tools used may vary depending on the

organization.

•Experience in a customer-facing role or with scheduling software would be beneficial. Role demands flexibility. Jobs are incoming throughout the day, and reminders need to be set, jobs need to be assigned. The administrative assistant is the direct link to Dawn and requires multitasking. The job is 40 hours per week. Salary negotiable.
